Is a cover letter necessary for a Schengen visa?
Yes, for applications submitted in India. The harmonised list of supporting documents adopted by the European Commission on 4 July 2025 puts a cover letter among the documents every applicant must submit. It must state the purpose of travel, the duration, the names of anyone travelling with you, and your transport and accommodation details.
That sentence is the whole specification. The letter is not an essay about your love of Europe; it is a one-page index to your file. The officer reads it first and then checks that each claim in it has a document behind it.
What must the cover letter contain?
The list for India names five items: the purpose of travel, the duration, the names of anyone travelling with you, and your transport and accommodation details. Write each as a fact the officer can check against an enclosed document: dates, names as on the passport, booking references and addresses. The table shows how.

Add three things the list does not name but the officer needs anyway: who is paying for the trip, what you do in India, and what brings you back. Those map onto the refusal reasons about means of subsistence and intention to leave, which the refusal reasons guide explains.
How should the cover letter be structured?
Keep it to one page, dated, addressed to the visa section of the visa office that will handle your file, and signed. Five short paragraphs do the job: who you are, the trip, who is travelling, how it is paid for, and why you return. Every date, name and reference must match the documents it points to.
The order below works because it follows the officer's questions in the order they ask them.
- Who you are. Name, passport number, occupation and employer or business, city of residence.
- The trip. Purpose, dates, cities in order, the main destination and why it is the main one.
- Who is travelling. Companions by name and relationship; for minors, who holds the consents.
- How it is paid. Your own funds, with the bank statement and income tax return acknowledgments listed, or the sponsor's name and the sponsorship form used.
- Why you return. Job and approved leave dates, business, family, property, studies, and the return flight reference.
Close with a list of the enclosed documents in the order they appear in the file.

Nothing in the template promises anything. It states facts and points at documents, which is all a cover letter can usefully do.
What changes for employees, business owners, sponsored travellers and families?
The core letter stays the same; the paragraph on funding and ties changes. The list for India names what each group must enclose, so the letter should reference those documents. A business trip needs two more letters: one from the inviting company and one from your employer, each confirming your identity, the purpose, and the period and place of stay.
- Employed. Name the pay slips for the last three months, the employment contract and the employer's approval of leave. Give the leave dates.
- Self-employed or company owner. Name the certificate of registration with its GST number, the business bank statement and the barcode-verifiable income tax return. Say who runs the business while you are away. Details in Schengen visa for the self-employed.
- Sponsored. Say who is paying, their relationship to you, and which national sponsorship form of the member state is enclosed. The letter cannot replace the form.
- Retired. Name the pension statements for the last three months or the proof of regular income from property or business. See Schengen visa for parents and senior citizens.
- Visiting family or friends. Name the host, enclose their invitation with address, contact details and the intended period, and a copy of their passport, ID or residence permit.

How do I ask for a multiple-entry visa in the cover letter?
State the request in one sentence and give the reason the rules recognise: previous Schengen visas used lawfully. Under the cascade for India, two visas lawfully used within the previous three years support a two-year multiple-entry visa, and a two-year visa lawfully used supports a five-year one. List those visas by number and date.
Write it as a request, not an expectation: "I request a multiple-entry visa. I held Schengen visas [number, dates] and [number, dates], both used in accordance with their conditions; copies are enclosed." A first-time applicant with no history can ask, but the cascade gives the officer no rule to grant it, so do not build the trip around it.
Mistakes that cost more than the letter is worth
- Dates that differ from the form or the flight reservation by even a day.
- A main destination in the letter that differs from the visa office you applied to. Check it with the which-country tool.
- Claiming funds or a sponsor without the matching document in the file.
- Saying you will "definitely return". The officer weighs documents, not adverbs.
- Two pages. If the story needs two pages, the file is missing a document.
